Department Overview
The OHSU-PSU School of Public Health (SPH) is aligned with the American Public Health Association in declaring racism a public health crisis, and our School is committed to becoming an antiracist SPH. Function/Duties of Position Secretarial/Administrative - internal support for team record keeping, document and report proofing, formatting, and editing, meeting scheduling, expense reports, routine database and spreadsheets or reports to track internal operations and budgeting, purchasing office supplies and work materials, invoicing and disbursements, and budget recordkeeping. Additional project tasks, administrative support tasks, and/or other coordination as needed.
Communications - management of various Center listservs, website development and maintenance, social media presence and content, disseminating program documentation and materials, and respond to and/or direct inquiries and solicit information from stakeholders.
Record Processing/Technical - Project management of the Training and Certification program, including in-person and webinar staff training events and related payments for materials, services, and collecting registration fees, program staff onboarding and training completion record-keeping, coordination of routine consultation and data collection, routine reporting related to staffing and training completion maintenance and improvement of training and certification systems.
Operations And Systems Improvement - Support Center staff and program site staff with technical assistance to operate within procedures, ensure policy compliance, and support administrative functions. Routine assessment and improvement of operational mechanisms.
Required Qualifications - Two years of general office or secretarial experience; OR
- An Associate’s degree or certificate in office occupations or office technology and one year of general office or secretarial experience; OR
- A Bachelor’s degree and one year of general office or secretarial experience; OR
- An equivalent combination of training and experience.
- Note: Successful completion of a formal OHSU Administrative Internship Program will substitute for one year of experience.
Preferred Qualifications - Bachelor’s degree
- One year of general office or secretarial experience
- Understanding and working knowledge of the Early Assessment and Support Alliance (EASA) and EASA Center for Excellence
- Demonstrated strong organizational skills and the ability to work collaboratively as part of a team, with a diverse population, as well as with outside agencies.
- Website design and maintenance experience, including HTML
- Experience using REDCap data system
- Experience working on grant-funded projects
Additional Details Remote work with SPH Vanport in-office work as needed, per Remote Work Agreement
